About the job role;

Human Resources

  • Overall management of the Academy's single central record;

  • Responsibility for the recruitment process for new staff

  • Responsibility for the appointments process, this to included initiating DBS, Barred List, Medical and reference checks. Completing documentation for contracts and back details for payroll and HR. Sending out offer letters and chasing any outstanding documentation;

  • To issue staff contracts and ensure all contractual paperwork is signed

  • To audit teaching staff sickness records and prepare termly reports to Principal for action;

  • To ensure organisation of confidential staff files and maintain them in an orderly manner;

  • To carry our any HR tasks relating to Teaching and Support Staff, including referrals to occupational health, organising interviews with the Executive Principal, liaising with staff representatives as required;

  • To work closely with Business Manager to produce salary assessments etc;

  • To direct staff to the correct source of information regarding pensions, salaries, maternity, grievance, complaints etc;

  • To assist with all matters relating to day to day staff welfare and personnel functions;

  • To assist with maintaining job descriptions and person specifications for all academy appointments;

  • Maintaining and regular updating of staff contact details and vehicle information;

  • To update staff lists, extension numbers and structure charts as necessary.

Management of Resources

  • To oversee the accuracy of staffing data entered into database

  • To oversee the staff workforce census return

  • To oversee the work of casual staff ensuring they are deployed appropriately and correct safeguarding procedures are followed

  • Organisation of preferred suppliers list

  • Oversight of all service level agreements in liaison with appropriate persons, including catering, printers, maintenance services etc.

  • Oversight of ensuring the Academy has the correct licensing agreements in place

Academy Asset Register

  • Oversight of the Academy asset register in liaison with the Finance Officer

  • Have oversight of the efficient and effective monitoring of Academy capital assets in liaison with the Finance Office

  • To ensure all Academy assets are recorded on a single central register

Academy Ethos

  • To engage actively in the performance review process, addressing appraisal targets set by the line

manager each autumn term.

Experience, knowledge and skills required

  • At least 5 years' experience working an office environment

  • At least 2 years' experience of managing a team of staff in a variety of different areas

  • Experience of developing policies, processes and procedures

  • Desirable: Experience of working in an school or educational establishment, Experience of managing budgets, Experience of managing HR issues

  • Good verbal and written communication skills in order to communicate with a wide variety of stakeholders

  • Ability to work on own initiative

  • Ability to work as part of a team

  • Willingness to continue professional development

  • Ability to communicate exceptionally well with parents and carers as well as other stakeholders in the Academy

  • Ability to manage own workload and on own initiatives

  • Ability to develop quality control systems

  • Ability to develop and maintain good relationships with a wide range of people from parents, governors , pupils to outside agencieS

Education and Qualifications:

  • Educated to degree level or Equivalent

  • Knowledge of Microsoft software packages

  • Knowledge of Health and Safety legislation

  • Secure Knowledge of Human resources legislation

  • Desirable: Professional qualification - CIPD
