Job Title: HR Administrator


Location: Bridgwater, Somerset (office based)


Salary: £22,500 PA


Hours: Monday to Thursday 8.30am-5pm and Friday 8.30am-4pm

The role: Our client are looking for an approachable, engaging and friendly HR Administrator to join their small team. The key purpose of your role will be to strengthen and support the HR department through providing an accurate, efficient and effective administration process and service.


You will co-ordinate the activities required to meet the company quality standards and focus on continuous improvement whilst contributing to the People Agenda and demonstrating the company values and behaviours.


Key Responsibilities:



  • Manage and co-ordinate all administration tasks within the department, such as; induction, recruitment and selection, new starters, leavers, employment changes, absence related documentation, training, performance reviews, appraisals, probation reviews, service awards, employee of the month, long service awards

  • Maintain and utilise the HR Data / system through timely and accurate input and producing reports to assist with the provision of management information and KPI reporting

  • Support the HR Team via the provision of an effective, efficient, value adding service whilst being able to accept delegated tasks

  • Identify opportunities for improvement and proactively resolve issues

  • Produce all reports as required to support KPI reporting for the site, H&S, OH etc.

  • Maintain organisation charts following starters/changes/leavers

  • Support ad hoc projects related to the role and help drive continuous improvement for the department

  • Responsible for scheduling an exit interview for all leavers; recording and reporting on the outputs of these to drive Continuous Improvement

  • Responsible for the co-ordination of Long Service Awards for the site

  • Support HR Advisor and HR Business in ensuring that approval processes are adhered to at all times, ensuring that no Offer or Change is made or passed to payroll without the required approvals

  • Ensure personal continued professional development is undertaken to keep abreast of latest legislative requirements

  • Support the HRBP and HR Advisor to ensure that employees receive accurate and timely communications

  • Represent your HR Team and participate in various internal groups and committees as required.

  • In addition, it will be a requirement to support cyclical projects such as Great Place to Work

  • Ambassador of company behaviours, leading by example


Performance & Absence Management



  • Ensures all conduct matters are accurately recorded

  • Records all absence and monitors absence levels, escalating to the HR Advisor / Business Partner for further action as necessary

  • Coach line managers on the company absence management procedures

  • Administer referrals to Occupational Health in conjunction with advice from the HRBP/HR Advisor

  • Supports the company in meeting the annual appraisal and objective setting deadline via accurate recording and reporting

  • Leads by example to support embedding the company behavioural competency framework


Recruitment & Retention



  • Track and provide managers with information to ensure that probationary reviews take place in line with current company policy

  • Support the HR Advisor and HR Business Partner in recruitment activity such as scheduling interviews

  • Draft all Offers for Factory Operations appointments with accuracy and efficiency at all times

  • Ensure that all Factory Operations vacancies are proactively managed (approvals, selection and offer) to ensure disruption to manufacturing as a result of manning is kept to a minimum

  • Support the effective on boarding of new employees by scheduling attendance at the company induction for all new employees

  • Ensure all new starters are issued with a New Starter On Boarding Questionnaire


Legal / Compliance



  • Conduct quarterly internal audits to ensure that all employee data is accurate

  • Monitor all FTC's, notifying line managers when nearing expiry to ensure the contracts are actively managed

  • Responsible for ensuring that we hold valid right to work documentation for all employees

  • Support the company and the HR Team as required during audits


Skills, experience and knowledge requirements:



  • Administration experience and up to date knowledge of basic HR principles (desirable)

  • Knowledge of HR/Payroll Systems and health and safety requirements in an office environment (desirable)

  • Well developed IT skills including Databases, Word, Excel, Power point and Outlook

  • Proven analytical and problem solving skills

  • Excellent communication skills

  • High attention to detail

  • Good time management skills and the ability to stay calm under pressure

  • Ability to listen carefully in order to understand the needs of others

  • Evidence of ability to work collaboratively with others and the ability to plan and prioritise your own workload

  • Able to establish rapport and credibility with others

  • The ability to demonstrate confidentiality and diplomacy and act professionally at all times
