Job Title: Head's PA and Clerk to Governor - Temporary to Permanent

Location: Taunton, Somerset

Hours: Monday - Friday, 37 hours a week (Term time + 5 inset days only)

Hourly rate: £10.21

The Role: Our friendly and down to earth client is currently seeking an experienced PA to join them on a temporary to permanent basis.

Key duties will include:

  • Provide an effective administration support service to the Headteacher and members of the Senior Leadership Team, to ensure they can undertake their role efficiently.

  • Act as the first point of contact for the Headteacher, using discretion and ensuring all visitors and callers receive a professional response and are dealt with by the appropriate person.

  • Deal with the Headteacher's daily correspondence as a priority, including filing, typing, photocopying, diary management, organising meetings, taking minutes of meetings and following up actions, arranging travel, dealing with phone calls and handling visitor itineraries.

  • Coordinate the day-to-day communication on behalf of the school including the Week, the Bulletin and Daily Briefing.

  • Regularly update the school's policies in conjunction with relevant staff.

  • Record, collate and coordinate appropriate responses to all compliments and complaints on the school's behalf.

  • Liaise with the governing body and ensure any documentation or information required for meetings is available and ready for the Headteacher and attending governors.

  • Liaise with the Headteacher and other relevant staff regarding marketing and promotional activities for the school, eg production of a new prospectus.

  • Provide complex and confidential advice and guidance to staff, students, parents and others.

  • Ensure a safe working environment to ensure compliance with health and safety, including appropriate risk

  • assessments.

  • Maintain a database of names, addresses and categories of GB members, and their terms of office, initiate 'welcome' materials being sent to newly appointed governors and advise governors and appointing bodies of expiry of terms of office so elections/appointments can be organised in a timely manner

  • Meetings - attending and arranging, taking minutes, recording attendance and producing, collating and distributing agendas

  • Advice - Have access to appropriate legal advice, support and guidance and the GB on procedural issues

  • Comply with all school policies and procedures, particularly those relating to safeguarding, equal opportunities, health and safety, security, confidentiality, behaviour, data protection and reporting any concerns to the Headteacher.

The successful candidate will have prior PA experience and be able to work well in a busy and varied role, along with being very well organised, with high attention to detail and accuracy. You must be able to work well under pressure with excellent written and verbal communication skills. You must be a proficient IT user, previous experience using Microsoft Office and SIMS and working within an Education setting is an advantage.
