General Administration Officer

Working for our client who are a UK registered Charity based in Wimbledon. You will also be required to cover other sites as and when required to cover holiday and sickness.

Monday to Friday

9.00am to 5.00pm/ 35 hours a week

£24,000 per annum

As the Administration Officer you will assist the Managing Director with the smooth running of the charity's administration within the Organisation's policies and procedures.

This role provides administrative support to different areas of the organisation. You will be required to provide leave cover for the reception staff in the clinic based at other sites.

This is a restructured role which will develop further over time. The Admin Officer will be required to have a medium to advance level of excel skill.


  • Responsible for the administration of staff records, this include processing applications, carrying out DBS checks, checking ID documentation, professional qualifications, insurances, drafting contracts, recording leave, issuing written materials, arranging interviews etc.

  • Responsible for processing Invoices for bi-weekly payment and other finance tasks such as banking and assisting with annual finance audit.

  • Responsible for the monthly preparation of the Gift Aid, using Raiser Edge Database.

  • Producing and monitoring the Clinics Key Performance Indicator (KPI) to allow the company to make smart business decisions.

  • Assisting the reception team in answering the phones (2 days per week), making, amending and cancelling patient appointments. The main reception backup for the clinic, covering Annual Leave and Sickness.

  • Provide general IT and telephone support to other members of staff - setting up of new starters.

  • Responsible for ordering stationary, making sure stock is available.

  • Assisting with the annual archiving of patient files, including updating patient records in the Clinic office Database.

  • Distribute incoming mail and post outgoing mail taking items to Post Office when required.

  • Responsible for updating the annual Fixed Asset Inventory, include the external storage- periodically checking items in storage, retrieving required items or adding new items.

  • Any other duties including ad hoc duties as be requested.


  • Over three years' experience of working as an administrator.

  • Good analytical skills, able to think logically and work efficiently.

  • Excellent written and verbal communication skills.

  • Organised with good attention to detail and accuracy.

  • Ability to multi-task and prioritise varying workloads.

  • Able to work well within a team.

  • Polite, with a clear and concise speaking voice.

  • A high degree of computer literacy - familiar with systems such as MS Office. Experience of Sage, Raisers Edge and Clinic Office would be an advantage.

  • Excellent time management and organisational skills.

  • Detail focused.
