Office Angels Edinburgh have an exciting opportunity for a Front of House Administrator to be responsible for the onsite running of our clients Edinburgh city centre office on a contractual basis - Maternity leave cover (minimum 6 months). This role also supports our clients Manchester office on an ad-hoc basis as well as a qualified First Aider and Fire Warden (full training on the Health and Safety will be provided).


The office is open Monday to Friday from 8am-6pm and you would be required to work 37.5hrs within these hours. The salary is £20,000.


Main Duties and Tasks:



  • Meeting and greeting all visitors

  • Maintain security pass allocation for Edinburgh office as well as issuing new passes.

  • Monitor access control software alongside the Office Manager

  • Liaise with suppliers to the office, building management and meeting organisers.

  • Daily checks and organisation of office and equipment

  • Hosting landlord inspections as and when required

  • Supporting the HR induction process

  • Assist the receptionist with answering incoming calls and directing queries to the appropriate individual or department.

  • Management of the booking system for meeting rooms and spare offices and ensure they are clean and presentable.

  • Sorting incoming and outgoing mail

  • Be responsible for ordering all UK and international couriers while maintaining a log of bookings to check against invoices when received ensuring costs are allocated to the correct department.

  • Be accountable for ensuring the service is reviewed and costs compared with other service providers.

  • Book all travel arrangements for any Edinburgh based staff as well as resolving any issues with booking of travel


Health & Safety responsibilities are also included.

  • Must be organised and able to carry out projects in a structure manner

  • Good Communication skills with all levels of the business

  • Professional Telephone Manner essential

  • Strong communication skills both oral and written

  • Proactive approach to the working environment


Qualifications and Experience



  • Previous experience of office administration

  • Previous experience of liaising with landlords is beneficial

  • Previous experience of expense and finance processes is useful
