JOB TITLE: Farm Secretary

LOCATION: Glastonbury, Somerset

SALARY: £28K - £32K PA DOE

HOURS: Monday - Friday 9:00am - 5:30pm with an hour for lunch (potential flexibility on hours for the right candidate)

THE ROLE: The Farm Secretary position is a varied administrative role that supports the farming enterprise and the family. This is an interesting role, where the successful candidate will also be linked to the various projects and businesses that operate from the farm offices. The ability to anticipate things that need doing, keeping an eye out for issues that arise and being prepared to resolve them as they do is essential. The key characteristics required to make a success of this role are: proactivity, flexibility and discretion.

Main duties responsibilities will include:

  • Keeping quarterly stock take records.

  • Liaising with tenants.

  • Preparing and submitting BPS (subsidy) annual application.

  • General farm administration and record keeping; including farm insurance, farm assurance, vehicle administration.

  • Administrative support to General Farm Operatives, ordering fuel, parts, deliveries as required.

  • General Farm liaison and support.

  • Managing and coordinating the calendar so that scheduled meetings reflect their priorities and allows for sufficient time to travel between meetings and prepare for them as necessary.

  • Taking notes and minutes from a range of meetings and accurately typing them up to ensure it fully reflects the discussion and can be used for future reference.

  • Preparing documents, plans, reports and other papers in advance of meetings to ensure the team have all the necessary information to effectively facilitate meetings .

  • Administering travel arrangements, hotel, taxi and airport transfer bookings as required.

  • Screening phone calls and e-mails, and answer and deal with queries and requests.

  • General administrative support - letter production, online filing email production.

  • Administering utility bills and all required payments.

  • Liaising regarding routine Farm and House maintenance.

  • Preparing information for tax returns.

Knowledge, skills and experience required:

  • Previous experience of effectively supporting a Farm in a secretarial / administrative capacity.

  • Previous experience of managing calendars on behalf of someone else.

  • Experience of liaising with a variety of stakeholders.

  • Experience and understanding of farm operations.

  • Ability to use initiative.

  • Is self-motivated and has an ability to think ahead and act before being directed.

  • Excellent verbal and written communication skills.

  • Computer literate, with advanced Word and Excel skills.

  • Has a good sense of priorities and can plan own work and the work of others to meet them.

  • Can accurately reflect discussions and actions from meetings.

  • Proactively seeks to understand and learn about the business.
