JOB ROLE: Facilities Assistant


JOB TYPE: Full time, office based. 6 month fixed term contract -potential to be made permanent


HOURS: 9 - 5.30 Monday - Friday


SALARY: £25,00 - £30,000* Depending on experience.


LOCATION: Victoria




Key Responsibilities:




  • First line of response for any workplace-related fault, issue or concern

  • Monitoring services at all times to ensure the smooth running of the office, identifying and rectifying any issues

  • Monitoring internal rooms and facilities ensuring they are well presented and maintained.

  • Managing mail distribution and deliveries daily

  • Ordering stationery, binding stock, paper & printer toners

  • Maintain staff kitchens and facilities - recycling, coffee machine, fruit deliveries, milk, water machines, etc.

  • Reporting and recording all maintenance issues, following up as necessary

  • Checking and authorising supplier invoices

  • Supporting various systems and processes including desk booking and access control

  • Collating statistics for Support committee and the Operations Leadership Team

  • Coordinating the archive system and maintaining electronic filing, keeping paper files up to date

  • Documenting procedures and updating user guides

  • Preparing and collating paperwork for new providers

  • Offering support to the Workplace department and the rest of the firm, as requested.

  • Providing cover for members of the Workplace department during absence or busy periods.

  • Proactively working with the Workplace Manager to develop and improve contribution to the company, as well as skills in workplace management and service delivery

  • Obtain required qualifications and/or other training as agreed with the Workplace Manager

  • Actively participating in the company forums, events and seminars
