Our client, an examining body for patent attorneys in the UK, are seeking a switched-on External Affairs Officer to join the Central London team!


In this role, you will be providing professional administrative support to the companies International Liaison Committee, including regular liaison with the Chairman, the taking of minutes and event management relating to delegations incoming to the UK and outgoing to foreign countries.


You will maintain effective working relations with members, colleagues and others, adopting the principle of treating everyone fairly and equally irrespective of their age, disability, ethnic origin, gender, marital status, race, religion, beliefs or sexuality.

Duties:

Planning:



  • Develop a timetable of work to ensure delivery of all delegated projects within required timescales.

  • Assist with plans to build support for key external initiatives as directed by the Deputy Chief Executive

  • Maintain a calendar of all events relating to ILC activities and relevant external events.

  • With the Deputy Chief Executive, identify and take advantage of opportunities to promote and share the public affairs work of the company with key stakeholders, senior decision makers, parliamentarians and policy makers.


Administration:



  • Provide administrative support to an array of internal committees.

  • Provide a secretarial secretariat service to the Chairman and members of various committees, including maintaining contacts with overseas organisations and assisting with the planning and delivery of in-person and virtual events at home and abroad.

  • Initiate support and maintain networks to gather information and contacts to support external work programs.

  • Assist with briefings, speeches, and report on external affairs and policy issues.

  • Develop, support, and nurture key relationships to maximise the impact of policy and external affairs work.


Project Management:



  • Prioritise own time and resources to maximise both the quantity and quality of deliverables in relation to set objectives.


Events & Event Management:



  • Attend external meetings and conferences with the Deputy Chief Executive and as directed to share and publicise the companies views with key stakeholders.

  • Develop, support and nurture key relationships with stakeholders and other external contacts who are critical to the delivery of company events in the UK and abroad.

  • Liaise with venue staff in the UK and overseas to ensure the good management and successful delivery of committee activities.


Other:



  • Assist the Deputy Chief Executive in responding to enquiries as required on external affairs and policies.

  • Work with the Deputy Chief Executive to provide updates and reports on external affairs to the Chief Executive, Officers, and other senior members of staff.

  • Assist with company comms strategy, help with the creation of images for the website and social media.

  • Assist with the company podcast, including scheduling, editing and promotion.



Skills & Experience:



  • Proven ability to develop and execute strategic plans

  • Strong communication and relationship building skills

  • Proficiency in managing both in person and virtual events, including planning, coordination, and liaison with venue staff

  • Strong administrative skillet

  • Effective prioritisation skills to manage multiple tasks and projects.

  • Strong problem-solving skills.
