Job Type: Temporary Contract (5 WEEKS)


Hours of work: Full Time, 37 hours per week, 9.00am - 5.30pm (flexibility available if required)


Location: Central Birmingham (Hybrid Working)


Pay rate: £17.15 - £18.71 per hour


Start Date: Immediate


Office Angels are currently recruiting for an Executive Personal Assistant to work for an Higher Education establishment located in Central Birmingham. and provide professional. As the Executive Personal Assistant you will deliver a high level of direct support with a main focus of the effective day-to-day organisation of the Associate Vice Chancellor's diary and commitments to ensure the best use of time is applied through effective weekly, termly and annual calendar management. This role requires a confident individual who has the ability to take ownership of their work and has a collaborative approach.


Key responsibilities:



  • Maintain a comprehensive and dynamic diary of appointments

  • Arranging meetings and balancing competing priorities ensuring the degree of flexibility and responsiveness required within a busy schedule

  • Maintaining a detailed calendar of priorities, deadlines and key events and proactively advise on impending deadlines

  • Prioritising, coordinating and arranging meetings including the preparation of briefing material, distribution of papers and agendas and taking forward any points of action, as required

  • Collecting, collating and presenting data on a variety of topics as required

  • Prioritising, initiating, responding to and redirecting where necessary internal and external communications (including emails, letters and telephone calls)

  • Providing support for a range of formal and informal meetings including identifying agenda items and producing an agenda, drafting routine papers and reports, organising the collation and circulation of meeting papers, producing minutes and identifying and monitoring follow up actions arising.

  • Review, establish and manage systems and record keeping within the designated office, ensuring information is accessible and retained in an appropriate manner.


Skills / Experience required:



  • Experience of providing Executive level PA support

  • Advanced knowledge in using computer software packages - including electronic diary management, Word, Excel, PowerPoint.

  • Attention to detail and ability to work under own initiative

  • Pragmatic with a solution-focused approach to problem solving

  • Resilient and able to operate autonomously at pace

  • Ability to deal with highly confidential information while demonstrating initiative and sound judgement


This role offers hybrid working (You will be based within the office for 3 days per week and work remotely from home 2 days)
