Office Angels are looking for an Experienced Executive Assistant to join a housing delivery company based in Waterloo. Waterloo | Part Time, 22.5 hours per week (spread across 3 days or 5 short days) | £17.95ph + OA benefits! | Home & Office Based | ASAP start | 3 months temp, with the potential to be extended

Key Responsibilities

  • To act as 'front of house' for wider Executive Team; undertaking activities such as filtering telephone calls, receiving documents, correspondence and messages, and responsible for ensuring information is forwarded to the appropriate Manager in an efficient and timely manner.

  • To have access, as required, to wider Executive Team emails to manage their inbox, highlighting any urgent emails or urgent actions arising from them.

  • To be responsible for the wider Executive Team's diary including arranging complex travel arrangements, scheduling of reoccurring routine meetings, planning and preparations of events and arranging the catering facilities as required.

  • To produce/prepare documentation for the wider Executive Team in a variety of formats including Word, Excel, PDF, PowerPoint and other reports including confidential material.

  • To assist with the preparation of documentation for Board papers, working closely with the Company Secretary and Executive Team as required.

  • Raise invoices and purchase orders when necessary.

  • Arrange room bookings, organise hospitality and order stationery supplies, as required.

  • Be responsible for ensuring that agendas/papers are prepared sufficiently in advance for meetings and that minutes are accurate. Responsible for the dissemination of information either in advance or after the meeting and for following up actions directly with those who have been assigned actions, to ensure that agreed next steps are carried out in a timely manner.

Personal Specification

  • Experience of working as an Executive Assistant or Senior PA

  • Experience of using Microsoft office products including sharepoint

  • Experience of using computer spreadsheets and IT systems

  • Strong attention to detail

  • Ability to multitask and undertake a range of activities meeting deadlines as required.

  • Able to work accurately and efficiently and to manage a heavy workload

  • Able to set up and run a number of administrative systems

  • A methodical and accurate approach to the work

  • Able to communicate effectively and to write clearly and concisely
