Our client is looking for Executive Assistant, with experience of working within a similar role and will be responsible for providing EA Support to senior leadership team and will have the pleasure of working within a high profile organisation, diverse team, busy environment. Experience in managing conflicting diaries, working with senior stakeholders and enjoys working within a fast-paced office environment



JOB TITLE: Executive Assistant

HOURS: Monday to Friday 9:00am - 5:30pm

Responsibilities/Duties



  • Provide administrative, logistical, and business support to the Director and Private Office, covering a wide range of duties in a fast-paced environment.

  • Work collaboratively with Private Secretaries to provide first class administrative support and strategic planning of the Private Office.

  • Manage information flows through the Private Office and advise the Director/Private Secretaries of any urgent matters as required.

  • Work collaboratively with the wider EA/PA network and directorate to represent the Director's views and deliver priorities.

  • Take a lead role as EA for the directorate, providing support and mentoring where required.

  • Proactively manage the Director's diary, ensuring their time is managed efficiently and aligns with their strategic priorities.

  • Effectively manage complex key external and internal stakeholder relationships, acting as the initial point of contact for stakeholders, and handling all queries in an efficient and professional manner to promote a positive image of the directorate.

  • Develop and maintain excellent working relationships with colleagues within the directorate and across the wider organisation, to ensure a high level of service to the Director.

  • Work with Private Secretaries to ensure the Director receives relevant papers and briefings for meetings in a timely manner, so that they have sufficient time to absorb the content and provide any feedback prior to meetings.

  • Brief and update the Director and Private Secretaries with any pertinent information that may be required by them to function effectively in their roles.

  • Any other tasks commensurate with the role that are required by the Director or Private Secretaries

  • Confident PA/EA with a proven track record of working at Director/Deputy Director level, ensuring the allocation of a Director's time is proactively managed, and aligns with strategic priorities.

  • Ability to multi-task and remain calm when working in a fast-paced environment, with a patient and logical approach to analysing information effectively to solve problems.

  • Exceptional attention to detail and organisational skills with proven ability to identify priorities and actions efficiently and effectively without supervision.

  • Strong interpersonal skills with the ability to communicate confidently at all levels and establish a strong rapport with senior leaders, both internally and externally, using diplomacy, tact and influencing.

  • Experience of dealing with matters of a highly confidential nature and acting appropriately.

  • Highly Proficient with the MS Office suite, OneNote and document management



Skills and Experience



  • Maximising Interim Networks Director time ensuring they work in an efficient and cost-effective way

  • Building strong relationships with internal and external stakeholders

  • Providing wider support to Interim Networks Director teams

  • Working as part of the wider directorate administration team to ensure smooth running of the Networks Directorate

  • Experience of working as a personal assistant, working closely with a manager to maximise their time;

  • Experience of complex diary management, inbox management and creation of reports and presentation.

  • Good organisational and time management skills

  • Flexibility and adaptability to juggle a range of different tasks to meet deadlines; with the ability to work under pressure;

  • Enhanced written and oral communication skills; along with advanced
