Our clients London office is looking to hire an Executive Assistant. This role will be based in our Fleet Street office, and requires candidates be available to work in an office setting.

Position Summary:



The Executive Assistant coordinates, oversees and performs a wide variety of highly responsible administrative activities for the Managing Director of the London Office. This position is regularly required to resolve complex administrative problems independently and confidentially.



Essential Duties and Responsibilities:


� Provide administrative support to the assigned Executive(s), to include:


� Managing a complex schedule/calendar


� Scheduling and maintaining domestic and international travel itineraries and negotiated complex scheduling issues


� Preparing and managing expense reports


� Schedule, organize and support complex activities such as international meetings and conferences; arranges for appropriate audio/video equipment, meeting room reservations, manages materials, agenda and food as needed


� Organize special events, scheduling and coordinating dates and times, venues, attendance, agendas and facilities; takes minutes as needed and provides administrative support and follow up on matters arising from meetings


� Support the Executive through the creation, modification, editing and preparation of documents to include transcriptions, correspondence, memos, charts, tables, graphs, presentations, special reports, etc.; verifies accuracy and clarity of final product


� Research information, compile statistics and gather and compute various data; prepare special and/or one-time reports, summaries, presentation or reply to inquiries, selecting relevant data from a variety of sources


� Proactively anticipate administrative needs and make informed decisions in regards to priorities; analyze situations carefully, recommend solutions, adopt effective courses of action


� Gather, enter and/or update data in records and databases as appropriate; establish and maintain files and records for the Executive


� Assist in the coordination, supervision and completion of special projects as appropriate


� Perform other job related duties and responsibilities as assigned
