Location: Near Maidstone

Salary: £45k

Hours: Monday-Friday, 8am-5pm

The position:

Due to continued growth this company would like to recruit an experienced Executive Assistant who thrives in a varied role and enjoys contributing to the efficient operation of a company. As an Executive Assistant you will need to be confident and tenacious in ensuring all requirements of the Board Directors you support are met in a timely and efficient manner and you'll use your initiative and enthusiasm in all that you do. The role will be based in their Kent head office with travel to their London office with some occasional travel to mainland Europe.

Your key responsibilities as the Executive Assistant would be to:

  • Plan and organise the activities of the director's office. Understanding the business priorities to manage the director's diary ensuring effective and efficient use of time

  • Co-ordinate travel arrangements for overseas and UK travel, including preparation of itineraries

  • Type of correspondence, documents, emails, memos, etc.

  • Electronic assembly of information for reports and presentations

  • Support directors with meeting actions

  • Support directors to oversee the operations including compiling of all reports required

  • Organise and maintain manual filing and create electronic files on internal systems

  • Deal with telephone enquiries from internal and external sources

  • Organise meetings, teleconferences, video/presentation or internal/external meetings. This includes negotiating commercial arrangements with venues as appropriate

  • Follow-up on client meetings ensuring all required documentation (pre & post meeting) are sent, further meetings are arranged etc.

  • Process incoming e-mail and post, taking action/responding where appropriate, sorting remaining emails to allow ease of access

  • General assistance in preparing for external and internal meetings, this includes regular monthly meeting document preparation, collation and filing. Enable and support the timely delivery of reports and other documentation as required

  • Events management, assisting with all internal events and ensuring your attendance at these. Alongside ensuring attendance is at all required external events

  • Use of software as required, e.g. PowerPoint, Excel, InDesign etc.

  • Completing timesheets and expenses claims

  • Advising colleagues/reception of visitor arrivals, greeting visitors, organising provision of refreshments, arranging working lunches

  • Minute or note taking at meetings as required

  • Ad-hoc research as requested

  • Provide support to the corporate support team.

  • Other secretarial and administrative tasks as required

We would love to speak to candidates with the following skills and attributes:

  • Significant demonstrable experience at an executive level and a proven record of excellent PA skills

  • Have the ability to judge a context, make connections and build relationships

  • Be an excellent communicator and influencer with the ability to form networks at all levels and influence effectively

  • Have superb organisational and administration skills

  • Be confident when working under pressure, while maintaining a sense of humour

  • Be self-motivated and able to work independently, with the ability to manage projects concurrently

  • Be a creative problem solver; proactively seeking and acting upon feedback

  • Have an interest in numbers and compiling spreadsheet data

  • Have proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite and ideally Adobe packages.

  • Fluency in other languages would be an advantage

  • Have a knowledge of standard office administrative practices and procedures

  • Have proven experience of producing correspondence and documents

  • Be able to be discreet and maintain confidentiality

  • Flexibility to ensure requirements are carried out
