Are you an experienced Executive Assistant looking for a new challenge? Have you previously worked supporting various senior managers and board members? Our client is looking to recruit an experienced Executive Assistant to join their business on a full-time permanent basis to start ASAP.



You would be responsible for:




  • To provide personal assistant duties to both the CEO and Directors, including taking phone calls, diary management, arranging meetings, travel arrangements and dealing with confidential correspondence

  • To provide support to the Executive committee to ensure the Association meets its regulatory, statutory, governance and compliance requirements

  • To effectively service the Board, Committees and associated meetings, including planning the meetings, preparing agendas, ensuring timely collation and distribution of papers, attending meetings, preparing and typing of minutes and following up the action plan. Organise annual and extraordinary general meetings.

  • Enable the smooth running of meetings, including preparing and distributing papers, room bookings, providing refreshments, meeting and greeting external visitors etc

  • Maintain up to date knowledge on issues relating to governance, the regulatory framework and environment

  • Ensure compliance with the associations' code of conduct, statutory requirements, standing orders, financial arrangements and governance best practice

  • Periodically review the statutory records and registers of Board and Committees to ensure these are being maintained

  • Assist in the planning and preparation of presentations and documents. Collate and distribute reports

  • Obtain and provide key information and data for use by the CEO and Directors. Maintain accurate information, e.g. CEO's and Directors office files and records.

  • Co-ordinate the annual appraisal process for Board and Committee members. Ensure that there is a comprehensive training and induction programme for Board Members. Bring to the attention of Board Members and Executive external seminars, conferences and training which may assist them in their role

  • Manage and maintain the Policy Review Framework schedule to ensure that the policies are reviewed in a timely manner by the appropriate Manager

  • To ensure the Governance Handbook and associated policies are kept up to date

  • Identify, monitor and evaluate data processing activities and operations, including agreements with external parties

  • Provide training for all staff on compliance issues and evaluating the impact of data breaches

  • Perform audits to ensure all procedures are relevant and adhered to

  • Ensure all queries from data subjects are responded to within legal timeframes

  • Incorporate changes in law to ensure legal compliance is followed

  • Responding to service user enquiries and complaints; screening telephone calls, enquiries and requests, and handling them when appropriate

  • Ensure that all electronic and manual filing systems are maintained and updated for Governance and comply with the requirements of GDPR



Skills / Experience required:



  • Relevant PA or secretarial experience in an office environment

  • Comprehensive experience of complex minute taking

  • Understanding of governance processes

  • Experience of a good level of expertise in software applications i.e. Word, Excel, Access, Outlook, Publisher and Power point

  • Experience of developing implementing electronic and paper filing systems

  • Experience of working with Board Members

  • Excellent telephone manner
