Amazing new opportunity for an experienced Events Executive to join a highly successful company who specialise in Conferences and Exhibitions and are a short walk from the London Bridge area.



The events will be held on the companies Virtual Platform initially and then on live events post covid restriction.


Duties of the role:


Prior to Event



  • Make and maintain regular contact with the Chairpersons and Speakers and seek to obtain their written papers and presentations for inclusion in the Conference

  • Create venue pages and conference documentation

  • Liaise with other key staff (Production, Marketing, Sponsorship, Accounts) involved in the event to ensure they are fully briefed

  • Consult and liaise with suppliers, raising purchase orders and confirming requirements

  • Consult and liaise with the venue regarding the event, layout and final numbers.

  • Conduct site visits

  • Manage programme changes as required

  • Liaise with any event Sponsor(s)

  • Book accommodation

  • Arrange shipment of your materials to venues



At the Event



  • Ensure the venue is set up correctly as previously agreed

  • Set up the Registration Desk, display stands, etc

  • Ensure Sponsors are set-up as agreed

  • Register Delegates efficiently

  • Welcome Speakers

  • Administer non-payee procedures

  • Work to pre-agreed budgets

  • Drinks Reception, return to the venue for drinks receptions, ensure that it is run to time & budget



Post Event:



  • Arrange collection of equipment from venues

  • Circulate Evaluation Forms

  • Return any payments and paperwork to Accounts

  • Post conference administration

  • Check supplier invoices for queries and pass to your manager for approval

  • Check and approve venue/hotel invoices for overseas and outsourced conferences



Requirements for the role:



  • Immediately available to start

  • Experience working on a virtual platform

  • Have previous Events experience

  • Willing to travel during the conference season (September to June)

  • Very organised and calm under pressure, working to tight deadlines

  • Excellent customer service experience

  • Excellent IT skills
