Duties 📝

As the Executive Assistant / Office Manager, you will:

  • Act as the first point of contact, handling complex and confidential situations on behalf of the CEO

  • Provide secretarial and administrative assistance to the Director of Finance and Operations

  • Ensure smooth operations by assessing priorities, coordinating schedules, and meeting deadlines

  • Manage busy diaries, schedule meetings, and create/edit presentation documents

  • Handle email management and draught/reply to emails on behalf of senior management

  • Maintain office housekeeping systems, including filing and information accessibility

  • Produce high-quality documents, reports, and presentation materials

  • Support the senior management team with ad hoc tasks and small-scale projects

Requirements 📌

To succeed in this role, you should have:

  • Proven experience taking minutes for CEO, Board, and Finance meetings

  • Strong diary and email management skills using Outlook

  • Excellent interpersonal and communication skills, both written and verbal

  • The ability to handle confidential information with discretion and sensitivity

  • Effective time management and organisational skills, with the ability to multitask and prioritise

  • Experience in office management and providing operational support

  • Proficiency in Microsoft Office Suite, including Teams and Zoom

  • Knowledge of content management systems and contract management is a plus
