LOCATION: East London (There will be occasional visits to sites to support management teams)


BENEFITS: Generous pension contribution. Holidays are a total of 29 days including Bank Holidays. This is formulated as follows: Two days Easter (BH), Two days May (BH), One day August (BH), Ten days Christmas including three bank holiday days (Construction Industry closure period). Fourteen days for balance of year. An additional five days holiday is awarded after two year's service. Therefore, increasing to 34 days/annum.


START DATE: ASAP


Salary: £30,000 - £35,000 (dependant on experience)



Role Purpose:


Our construction company focuses on several industry sectors, namely residential, education, health and commercial. Schemes are predominately of a Design & Build arrangement with the occasional traditional project awarded.


The Document Controller will maintain records and oversee document control for regulatory and legal compliance associated with our construction projects.


Filing documents under the correct category and in the correct location on the internal
electronic filing system 'workspace' is fundamental.


Coordinating with different teams and departments concerning queries and to ensure that
documents contain the correct information to assist in categorisation. Plus ensure all documents are filed by others as 'standard'.


Role will suit an enthusiastic individual, capable of working well both independently and in teams. The Document Controller should be detail-focused and comfortable communicating with colleagues, external customers, design team members, specialist contractors and all project stakeholders.


Experience in software programs such as Workspace, Asite, Viewpoint, 4Projects, Conject or similar will be an advantage. Preference will be given to those with experience in the construction industry.



Key Responsibilities:


Receive and download relevant documents including distribution of same in accord with company/project procedures.


Ensure all technical documents, such as reports, drawings and blueprints, are received, downloaded and registered in EDMS (Workspace).


Utilise Workspace Document Management system for everyday operations, maintenance and quality control.


Notify personnel of updated document versions and how to access as periodically required.


Print and distribute documents as necessary both internally and externally.


Work with documents and records across various teams, including estimating, buying, operations and business development in line with specified time constraints. Particular emphasis will be placed on estimating and operational programme requirements.


Efficiently, notify company representatives of any issues which may pose a risk or impact on business operations.


Adhere to company EDMS processes as directed by Operations Director.


Consider and propose strategies to improve operational efficiency, add value to business performance and work towards a strategy of continuous improvement in conjunction with Operational Director.


Ensure a professional and consistent approach is adopted in relation to all internal and external stakeholder relationships.


People Management:


Provide appropriate support, mentoring and monitoring of staff members allocated to you including trainee members of staff, including those from other teams within the company.


Relationship Management:


Work collaboratively with colleagues, suppliers and stakeholders in respect of industry initiatives and impact of potential change to the business which should be communicated in a timely fashion.


Build, maintain and manage supplier relationships whilst ensuring good communication is maintained with all impacted stakeholders.


Personal Management:


Comply with company Health, Safety and Environmental Policies.


Proactively contribute to the team and maintain a collaborative approach to working with others.


Resilient, self-motivated and able to work under pressure.


Continue to broaden knowledge of industry technology advancements.


Keen attention to detail and accuracy.
