JOB ROLE: Digital Education Course Coordinator

JOB TYPE: Temporary

HOURS: 9:00am - 5:00pm, Mon - Fri

DURATION: 3 months (potential to be extended)

PAY RATE: £11.00ph




Principle duties and responsibilities:

Answer queries from Approved Programme Providers (APPs)

● Answer queries via the CRM Case Management System

● Ensure standard reply times are met for all daily cases

● Allocate cases to the appropriate individual/team if unable to answer. Monitor response times to ensure these allocated cases are responded to within 3 working days.

● Monitor any unresolved enquiries and work with relevant team member/company staff for final resolution.

Process APP Bookings

· Ensure APPs supply student details in a suitable format.

· Upload student details, supplied by APPs, to register them for online courses, within agreed timescales.

· Ensure students receive login confirmation and can access their courses.

· Monitor student enrollments and liaise with the Digital Education Platform Lead to ensure educator to student ratio is within company guidelines for that course type.

· Arrange the creation and sending of booking confirmations to customers.

LMS/Online Classroom technical/ general customer support

· Provide technical support to students and all internal/external stakeholders via the CRM Case Management System.

· Provide customer support for queries that come via the CRM Case Management System.

● Assist APPs and other potential customers to advise on available digital services to meet their needs

Administration and Documentation

● Process educator invoices and record information in the relevant spreadsheets.

● Create live custom courses in the Online Classroom in accordance with requests from APPs/internal staff. Add extra live courses when required in line with business needs.

● Assist in the day-to-day management of the digital education administration.

Other Activities

Contribute to the successful overall operation of the Trust by undertaking such other tasks as may from time to time be requested.

● Assist in the updating of relevant procedures and ensure our procedural folders remain up to date and accurate.

Essential Criteria:

  • Experience with entering records for customers, ideally in a customer relationship management (CRM) system.

  • Experience of customer service and evidence of high levels of skill in this area.

  • Patient and attentive to customer needs, taking care to ensure these have been fully understood.

  • Effective communication skills, including verbal and written English. Should be able to adapt communication style to suit different audiences.

  • Problem solving skills

  • General IT skills - Microsoft Office is used at the company - email, PowerPoint, excel and word processing in particular

  • Honest with the ability to declare and correct errors. High level of integrity to work with confidential information.

Desirable Criteria:

  • Experience using a customer service ticketing system.

  • Experience with administering users within an online learning platform - ideally Canvas.

  • Technical knowledge of an LMS - ideally Canvas.

  • Knowledge of vocational education and training.

  • Experience with administering users within a learning management system (LMS) - ideally Canvas.

  • Experience with creating and managing purchase orders and invoices in a finance management system.
