JOB TITLE: Contracts Team Administrator


COMPANY: Construction


CONTRACT: 12 month FTC (maternity cover) - potential to extend and/or go permanent


SALARY: £27,000 - £30,000 dependant on candidate experience


HOURS: 9.00am - 17.30pm


START: ASAP


LOCATION: Victoria (office full-time)

Main Duties and Responsibilities



  • Monitoring and logging incoming and outgoing information/correspondence

  • Adhere to document control procedures keeping accurate records and trackers

  • Ensure all necessary electronic and paper records, including timesheets are completed by the team in a timely manner to meet internal and customer deadlines

  • Update and maintain document management system, logging projects, updating their status and milestones against service deliverables from enquiry through to completion

  • Responsible for the project library, storage areas and inventory of items

  • Operate Clients document management systems - upload/download documents

  • Support the team with relevant administration tasks throughout the contract lifecycle

  • Organise communication and collating requests for information required by the project management team

  • Deliver exceptional service standards to meet client expectations

  • Resolve all operational difficulties by supporting the management team

  • Collection of sustainability information for submission on a monthly basis

  • Work with project staff to ensure Health & Safety risk assessments are completed

  • Administrative support duties for the Project Managers

  • General support functions (e.g., general enquiries including phone enquiries, mailing, emailing, photocopying, collating, formatting documents, filing, archiving and typing, population of databases, ordering stationary)

  • Security Pass processes

  • Setting up electronic and hard-copy folders of tender documents

  • Document control of changes of tender information, issuing tender addendums to the relevant parties

  • Managing subcontractor enquiry process (sending out enquiries, arranging site visits, chasing quotes, etc.)

  • Adding schedule of works to our estimating system (training to be provided)

  • Ensuring that all tenders are logged and submitted as per the tender requirements



Knowledge and experience



  • Previous knowledge of how construction/refurbishment/conservation projects are delivered is essential

  • Excellent organisational and time management skills. Knowledge of working within and supporting a fast-moving team to ensure that the team objectives are delivered to time, budget and agreed quality standards. Ability to prioritise and work to tight deadlines

  • Demonstrable experience of building and maintaining effective relationships at a variety of levels, including responding to needs diplomatically and managing expectations

  • Strong IT skills and experience with a wide range of office and project management IT (Microsoft suite including SharePoint, Aconex etc.)

  • Have a working knowledge of electronic document management systems and ability to learn new systems

  • Flexibility willingness to take on varied duties and tasks

  • Knowledge in heritage is desirable

  • To be a team player and able to work alone whilst keeping focused on priority issues

  • No issue with personal security clearance / no criminal record
