Job Details:

  • Client Services Administrator

  • £27,000 - £30,000 *Depending on experience

  • City of London - Fully office based

  • 9:00am - 18.00pm

  • Property Company

Daily Tasks:

  • Take full ownership of the Onboarding process and ensure prospective clients are guided through the service until the point of their "Go-Live" marketing date

  • Use the telephone to interact with Onboarding clients as the primary mode of contact and ensure the onboarding process is completed within designated timescales

  • Process any inbound telephone enquiries to be forwarded to the relevant team member

  • Ensuring all required business documentation is received from prospective clientele and correctly filed

  • Arrange for photos/floorplans to be booked in for new clientele and chasing photography company for regular updates

  • Writing property descriptions for all new instructions

  • Arrange with the client the logistics for access to the property for future viewings

  • Discuss and handle any contract or service-related enquiries, in order to keep the client engaged and committed to "Go-Live" to ensure this is completed in a timely fashion

  • Full understanding and enforcement of the company's anti-Money Laundering Policy and application of this when onboarding clients

  • Building the property and client profile on the company CRM in readiness for launching their property to the market

  • Conducting weekly client catch-up calls as the property Account Manager to gauge feedback on client service and experience

  • Aiding the team to send out any required business documentation, letters or forms out to assist with the listings and sales process via email

  • Ensuring that the quality of the live property listings remains consistent through good quality photos and property descriptions

  • Maintain relationships and be the point of contact for our supply chain and business support network.

Candidate Requirements:

  • Estate Agency Background essential. More emphasis on administrator/ team administrator/ office manager role

  • Extremely organised and able to work in a fast-paced environment

  • Process driven and can think on their feet

  • Strong rapport-building skills

  • Used to dealing with high volumes of calls and transactions

  • Excellent attention to detail and grammar for email correspondence

  • Someone who is striving to improve themselves and progress within an expanding business

  • MS Office efficient, mainly Outlook

  • Able to pick up new systems quickly
