Job Title: Association Executive
Reports to: Head of Operations
Location: Paddington
Salary: £30,000-£32,000PA DOE
Start: ASAP

My client is a membership association. Their members are leading accounting firms - and currently have over 150 members in more than 80 countries (they truly are global!). They are run by an international board (10 directors) and 5 regional boards (33 directors) and is co-ordinated from a London-based Global Executive Office (GEO), where the Association Executive position will be based.

Personal Specifications
Excellent attention to detail - this role will suit a person who is naturally accurate, detailed, and thorough in their approach to work. A person without this characteristic will not enjoy this role nor successfully progress beyond the probationary period.

* Highly organised and able to work on own initiative
* Experience of working in a small office environment
* Experience of working in an administrative/support role
* Must be numerate and literate with advanced multicultural and interpersonal skills, and able to communicate appropriately with different levels of seniority, including directors
* Able to multitask and juggle a variety of tasks at once
* Possess an easy-going, confident and friendly personality, with a sense of humour
Desirable (please note these are not essential to the role)
* Writing and proofreading experience
* CRM (Salesforce) experience
* Email campaigns/online newsletter (Mailchimp) experience
* Bookkeeping/accounts experience (SAGE)
* Layout or design experience (InDesign)
* Conference and/training organisation experience
* Degree educated, with foreign languages (Spanish, Chinese, French)

Member services;

* Manage information process for the International Accounting Bulletin and other surveys
* Manage information process for professional review information
* Check member firms, Partners, Directors and other officers on Know Your Customer database
* Handle initial member enquiries
* Prepare paperwork for new members
* Assist existing members with administrative requests
* Help facilitate member interest group meetings online collaboration platform
* Assist in research projects

* Assist and/or manage the organisation and planning of conferences and training events
* Prepare the conference paperwork, liaise with venues, suppliers, speakers etc.
* Attend, if required, conferences/training events (sometimes held overseas) and oversee the smooth running of the event
* Prepare documents for Board meetings
* Take minutes of board meetings

* Assist and/or manage the production of marketing materials such as announcements, newsletters, doing business guides and directories
* Draft press releases, CEO updates, meeting minutes
* Liaise with external copywriter, designer and marketing/IT agency
* Send member and press release announcements
* Update company website
* Follow up with member firms to ensure all information held is up-to-date site

Office and administrative support;
* Answer phones; organise mail (including couriers); arrange meetings (inc. refreshments and lunches); liaise with office suppliers and office management company; organise travel arrangements; file all paperwork efficiently and effectively; maintain email and other contact lists

* Bookkeeping including processing supplier invoices for payment
* Process and manage bank account and credit card statements; staff and directors' expenses, VAT returns and petty cash
* Process the company's invoices and chase outstanding payments
* Liaise with external accountant, bank and insurers
* Collate information and provide reports and schedules
