Bookings Co-ordinator £20,000 - £22,000 per annum (depending on experience)

We are working in partnership with a National company who provide an Administration and Marketing service that supports schools in managing and increasing their out of hours lettings. Working closely within communities, their goal is provide income for the school and enhance their reputation while creating new opportunities. Your role will be to act as an intermediary between the school and it's existing community users regarding school facility bookings while managing your own portfolio of schools.

The role will include:

  • Form and maintain strong relationship with community users, site staff, key school contacts and others associated with the school's facilities

  • Respond to telephone and email enquiries regarding repeat/ extended bookings

  • Manage multiple MS Outlook venue inboxes

  • Update the booking system with the school calendar, school events and community hours

  • Manage customer cancellations and site closures

  • Generate invoices, chase debt and deal with invoice queries as and when required

  • Manage and resolve any disputes

  • Process annual renewal bookings and price increases

  • Chase community users for documentation such as coaching certificates and public liability cover when it's expired

  • Collect and return event deposits from/to community users

  • Record significant news on venues and work in collaboration with the Marketing personnel to create a monthly feedback report to school business managers

Experience and skills required for this role:

  • Previous Office Administration experience within a customer service environment is essential

  • Excellent written and oral communication skills

  • Organisational skills with the ability to manage several tasks simultaneously

  • Excellent IT Skills with a working knowledge of MS Word, Excel and databases

  • The ability to work to tight deadlines and prioritise workload

  • Be able to work as part of a team

Experience within an office based role is essential to be considered for this role, along with good work ethic and accuracy.
