Responsibilities:


To provide reception, general administration and customer services


To provide administration support for the financial aspects



Key Accountabilities


� To provide administration assistance to the appointing manager to aspects of the business, including, but not limited to, liaising with Purchase ledger department regarding updates on the purchase order log, organising for invoices to be passed for payment and end of month accounting assistance, ensuring adherence to confidentiality at all times.


� To be fully conversant to the use of Echo database and be a 'Superuser' level after successfully completing the training period, and be able to draw reports, corrections, analysis using Excel


� To assist with all Local Authorities and commercial customers queries and to be able to deal them to conclusion.


� To provide administration assistance to senior managers and other staff as required order to meet the administration needs of the business. Tasks may include, but will not be limited to, photocopying, filing, archiving, minute taking and typing


� To provide an efficient front-line telephone and email service provider for all enquiries received for the office, ensuring that excellent standard of customer service is delivered and that all messages are properly recorded and distributed to individuals in a timely manner


� To provide a professional reception service, taking delivery of items and greeting all visitors, ensuring that they have read the Health and Safety Site Rules and proving them with the correct PPE.


� To ensure that the reception is covered between the hours of 8.30am and 5.00pm and to make sure that should the reception be unattended for any length of time due to breaks etc. that alternative is organised and provided.


� To effectively manage all incoming and outgoing mail, faxes, couriers and deliveries, ensuring that all correspondence and items are delivered to recipients in timely manner.


�To establish and maintain an effective booking system for the meeting room and to organise and provide all hospitality arrangements, including refreshments, for meetings.


� To ensure that the general offices are tidy, giving particular attention to the administration office and the administration equipment area (photocopier, fax machine shredder etc), and to also ensure that administration stocks (eg: paper, forms etc.) are kept to a sufficient level at all times.


� To maintain the holiday chart in conjunction with the appointing manager and to also prepare and maintain movement sheets for all senior staff.


� To undertake any other duties that may be required for the successful execution of the role
