Key Responsibilities


General



  • Raise orders and process invoice payments using SAP, ensuring payments are made on time, and any issues are escalated to senior members of the team

  • Maintain spreadsheets with information for depot orders/spend



  • Develop and maintain excellent working relationships with all depot employees and support functions

  • Develop and maintain excellent working relationships with external parties, e.g. Hotels and travel suppliers, mechanical handling suppliers and print suppliers



  • Pro-actively deal with queries from depots, seek solutions and/or escalate



  • Update and create new user accounts for the SMS system as and when required

  • Sort and distribute the sites incoming/outgoing post on a daily basis

  • Deal with incoming calls in a professional manner, ensuring queries are dealt to the satisfaction of the caller

  • Assist the company in making outgoing calls to depots to give/receive information regarding project rollouts

  • Monitor the department e-mail inboxes, ensuring messages are dealt with in a timely manner

  • Provide support to the Regions by communicating to the depots, when there are issues with connectivity for computer and telephone equipment, as and when required


Other



  • Book accommodation/travel requirements for Senior managers as and when required, within budgetary guidelines



  • Liaise directly with hotels to book for Regional/Area meetings, as per requirements
