Administrator

Our client, a successful engineering specialist based in Glasgow City Centre, is looking to recruit an Administrator to support the Office Manager and Practice Manager, Directors, engineers, and technicians.


This is a full-time role (35 hours per week) Monday to Friday with flexible hours (core hours of 10 am to 12 noon and 2 pm to 4 pm).


You will be the first point of contact for the team and for clients. It is therefore pivotal that you have strong communication skills and can balance a multiple of responsibilities whilst remaining business focused.


The role will ideally suit someone who self-motivated, committed to delivering a high standard of work, and preferably has previous experience of working within the construction/engineering industry.


Key Duties:-


Business Support Administration



  • Answering incoming calls and forwarding on to the correct department

  • Printing, collating, and maintaining documents

  • Liaising with staff and clients in an effective and professional manner

  • Producing a high standard of documents, reports and presentations

  • Diary management

  • Organising travel and accommodation

  • Dealing with incoming e-mails enquiries and mail

  • Managing electronic filing system through uploading documents and archiving old projects

  • Arranging meeting rooms and refreshments as required

  • Ensuring compliance is met in line with all company standards and procedures

  • Logging and monitoring new work enquiries

  • Collating information for submissions

  • Assisting Office Manager and Senior Management with submissions

  • Uploading and amending tender submissions to the eTendering system

  • Updating Project Summary Sheets



Skills:-



  • Proficient in Outlook, Word, Excel and PowerPoint

  • Excellent written and verbal communication skills

  • Flexible and adaptable to change

  • The ability to make decisions and solve any issues that may arise

  • Good attention to detail

  • Proactive and results orientated

  • Highly organised
