Administration & Accounts Assistant

Office Angels currently have a fantastic opportunity for an Administration and Accounts Assistant, to join our client on a 9-month fixed term contract. This is an amazing opportunity, which is likely to go permanent for the right candidate, following the 9-month period.

Experience within an Accounts Assistant capacity is essential. AAT qualification or equivalent accounts qualification would be beneficial.

Location: Team Valley, Gateshead. Driver with access to own vehicle is highly beneficial.

Hours: 37.5 hours per week, general start and finish time are 8.30am - 5.00pm Mon - Thursday and 8:30AM - 4PM on a Friday. However, FLEXIBLE working hours are available!

Salary: £20k - £24k, depending on experience.

Job role:

The Administration & Accounts Assistant will often be the first point of contact for visitors, suppliers and clients, so would be expected to portray the company in a professional and friendly manner at all times. The successful candidate will manage the office environment, provide support to other departments and complete Accounts Assistant duties.


  • Answering all incoming calls and call transferring to other staff members as required

  • Greeting external visitors and representing the company in a professional manner always

  • Undertaking general administrative tasks:

    • Incoming Post/Outgoing Post - to Post Office/Post Box

    • Kitchen Provisions/Office Consumables

    • Managing the Company general information email inbox

    • Stationery/Printing Materials

    • Converting any received paperwork to digital format

    • Staff Holiday Request Forms/Holiday Chart

    • General office maintenance management as required

    • Assistance with completion of credit account forms for new suppliers

    • Managing company vehicle requirements. Services/Repairs/Tyres

    • Arranging staff training and maintaining the Training Matrix

    • Making purchases using company credit card

    • Maintaining a tidy office environment

Undertaking the following general accounts related tasks:

  • Filing invoices

  • Filing supplier invoices and statements

  • Processing overhead invoices on SAGE

  • Checking supplier statements on SAGE

  • Processing credit card expenditure on SAGE

  • Processing staff expenses on SAGE

  • Producing supplier and client statements from SAGE as requested

  • Bank reconciliations

  • Managing supplier payments ledger

  • Making supplier payments, with assistance from the Commercial Director

  • Managing invoice projection and cash receipts ledger, with assistance from the Commercial team

  • May be required from time to time to assist with maintaining company accreditations: ISO9001 / ISO14001 / ISO45001

  • Arranging travel & hotel bookings for all employees and clients, as required


  • Minimum 2 years' experience in a similar accounts and administration role

  • Experience of dealing with clients, suppliers and visitors on a daily basis

  • General IT Knowledge. (project file management, email management)

  • Knowledge of Microsoft Word, Excel, Outlook

  • Communication skills

  • Confident telephone manner

  • Problem solving skills

  • Ability to multi-task and prioritise a busy workload
