HOURS: 9.30am - 5.30pm, Monday - Friday


SALARY: £30,000 pro rata

Our client is a leading insurance and reinsurance software specialist. With headquarters based in London, they employ talented insurance and technical experts who understand the market and their client's business. They deliver a powerful suite of software which provide full end-to-end management of all insurance and reinsurance business.


Our client is looking for an experienced Office Manager on an initial six-month fixed term contract basis to ensure the smooth running of the two London offices, including health and safety, reception activity and supervising the Reception team.


DUTIES INCLUDE BUT ARE NOT EXCLUSIVE TO:



  • Manage and action queries sent to the London Reception mailbox (in conjunction with the Reception team) ensuring SLAs are adhered to. E.g. organising meetings, booking transport, preparing presentations/reports organising company events or conferences.

  • Liaise with employees, suppliers and building management in relation to office management activity

  • Work with the office management team in Malaga to ensure processes and procedures remain mirrored across both locations where possible

  • The main point of contact for any building related activity, liaising with building management in regards to any building issues and attending the regular building management meetings

  • Ensure H&S policies are up to date and the business remains compliant with its obligations e.g. risk assessments, office walk rounds, fire safety (including training, procedures and marshals in place), first aid (including training, procedures and first aiders in place) and PAT testing

  • In conjunction with the reception team, ensure the office and meeting rooms are clean and tidy, meeting rooms are set up and cleared away for any meetings during the day, ordering and/or preparing any refreshments required

  • Manage the buildings recycling/rubbish disposal requirements/needs, air-conditioning issues/adjustments

  • Manage supplier relationships e.g. M&E - office maintenance contract etc.

  • Manage the office security needs e.g. Alarms and CCTV

  • Support with Business Continuity procedures

  • Work with the Senior HR Manager on any Office Management related projects e.g. office move

  • Manage budget, monitor value for money for all areas of responsibility

  • Delegating and supervising work and workload planning within the Reception team

  • Any other duties commensurate to the grade of the role


SKILLS, EXPERIENCE AND ATTRIBUTES REQUIRED:



  • Demonstrable experience of working within an Office Management role or equivalent e.g. secretarial/PA, customer facing work experience within an office environment (essential)

  • Good working knowledge and previous experience of working in H&S, including policies, procedures and legal compliance.

  • A First Aid certificate would be an advantage

  • Solid administrative skills and experience, ideally within a fast-paced growing organisation

  • Proficient in MS Office and working knowledge

  • Outstanding organisational and time-management skills

  • Excellent communication and interpersonal skills

  • Good at problem-solving and decision-making

  • Strong work ethics and reliable

  • Fun, as well as a team player
