We are currently working with an iconic national charity for an Office Coordinator to join the team in central London.

Applicants should be self-driven, results orientated, flexible with a clear focus on producing high quality work. Reliable and committed to role, able to take instructions and to work well as a team or on own initiative. Able to communicate at all levels, strong organisational and administrative skills. Must be adept in use of computer systems.

SALARY: £16 p/h

  • To provide proactive and efficient coordination of work across the Business Innovation and Insight teams, maintaining timetables and plans for key work streams, ensuring they are communicated effectively across the department, highlighting issues and risks to the leadership team, and taking ownership of specific projects and pieces of work as required

  • To organise internal and external meetings and events, including taking on all aspects of delivery from issuing invitations, maintaining records, booking venues and catering, preparing presentations and briefings and note taking

  • To provide data and information, including running dashboard reports, populating templates, undertaking initial analysis and presenting results, and preparing PowerPoint presentation

  • To support the development of case studies, guidance and other resources including research, data collection and initial analysis

  • To ensure efficient records management including maintaining the department's information systems in line with corporate policies and systems

  • To ensure efficient financial record keeping and procurement in line with corporate policies and procedures, including the preparation and documentation of tender processes

  • To act as the main contact for liaison with Business Services and any external contractors on accommodation, facilities and IT issues and provide first line support for office equipment

  • To provide administrative support to team members such as arranging travel and accommodation and booking meeting rooms, and other duties as required to support the effectiveness of the department

Key skills:

  • Evidence of willingness to be flexible and proactive - the role requires a range of responsibilities from some quite straightforward admin to being able to anticipate and provide support for a large and geographically dispersed set of strategy, policy and communications teams.

  • Experience of working in cultural or charity sectors, ideally in a policy, research or communications team

  • Good minute taking/secretariat skills (they may need to support the listening sessions in January)

  • Experience with project support (e.g. some familiarity with project management tools/techniques)

  • High level of integrity, trust and respect

  • Ability to make decisions

  • Good problem-solving skills

  • Approachable, adaptable and flexible

  • Challenges assumptions and encourages change

  • Positive 'can-do' approach

  • Must have strong Customer Service Skills

  • Good level of English & Maths

  • Strong IT skills - Outlook, Word, Excel
