JOB TITLE: Office Administrator
COMPANY: IT Consultancy
HOURS: 09:00am- 17:00pm Monday - Friday
CONTRACT: 6-month FTC with the possibility to go permanent
SALARY: £25,000pa
START DATE: January 2020

Our client is an ICT Company owned by Police and Crime Commissioners, they support police forces by helping them to make the best use of technology to deliver efficient and effective policing in England and Wales.
This is an excellent opportunity for a first or second jobber to gain new experience and to be an integral part of the company's office support functions by providing day to day administrative and coordination support to the team.


DUTIES INCLUDE BUT ARE NOT EXCLUSIVE TO:
* Basic administration support to the PA to the CEO and all team members and functions across the business
* Greeting visitors, answering and directing incoming phone calls and manage the enquiries mailbox, responding and tracking all enquiries.
* Maintaining central registers and databases to demonstrate compliance with good practice, such as asset registers, health and safety, first aid, distribution lists and contacts, and BI.
* Support the quality control process by providing document formatting consistent with company guidelines.
* Support the PA to the CEO and HR Manager during the on-boarding of new joiners, such as building induction and issue of equipment. Additionally, supporting during the leaving process.
* Maintaining the clean and tidy condition of the offices and office assets, including office supplies, housekeeping and building maintenance.
* Managing electronic and hardcopy filing systems.
* Organising internal and external business meetings, making all necessary arrangements including sending invitations, booking rooms, providing agendas/papers, teleconference facilities and catering.
* Manage the booking of meeting rooms
* Support the PA to the CEO in disaster recovery and business continuity situations, including fire evacuation.
* Support the PA to the CEO with health and safety process and policies, including first aider and fire marshal support.
* Support the PA to the CEO with implementing and maintaining procedures/office administrative systems.
* Assist with the planning and preparation of team build activities and event days.
* Provide cover for the PA to CEO during annual leave and sickness


SKILLS, EXPERIENCE AND ATTRIBUTES REQUIRED:
* Security cleared preferably to SC level or must be prepared to undertake vetting/security clearance
* Strong communication skills (verbal and written), with the ability to absorb complex information quickly and summarise it effectively
* Highly organised and efficient,
* Ability to develop and maintain professional relationships with customers and stakeholders and other key contacts in external organisations
