JOB TITLE: Team Administrator


JOB TYPE: Permanent


SALARY: up to £25,000


COMPANY TYPE:


HOURS: 35 hours per week within a 08.30 - 6.30 (8-hour days with one-hour lunch)


LOCATION:


PENSION: No contribution from you, they pay 10% of your salary (how great is that?!)


HOLIDAY: 29 days, with three days of that allowance to be taken between Christmas and New Year as the office is closed.

The new post of Team Administrator is a key member of the team, you will support both the Chair and Chief Executive and Registrar to ensure the effective conduct of the Company and its governance processes.


THE DUTIES:


The main duties of the post include:



  • Responsibility for the planning, organisation and quality assurance of the processes underpinning Council and Committee meetings

  • Providing executive assistant support to the Chair and CER, communicating well and taking responsibility for delegated actions

  • With the support of the Director of Corporate Services, ensuring an accurate note of a meeting is produced enabling the production of high-quality minutes, matters arising and action logs that can be acted upon.

  • Establishing an annual plan for meetings: confirming Members' availability, the booking of meeting rooms and other aspects contributing to the smooth running of meetings

  • With Chairs, organising Members' appraisal meetings ensuring self-assessments are completed and documentation stored appropriately

  • Contributing to the arrangements for the effective management of documents

  • Supporting the recruitment to Council and Committee positions preparing recruitment packs; organising marketing; liaising with applicants and maintaining good records.

  • Ensuring the organisation and smooth running of quarterly 'Test of Competence' meetings - ensuring panels set up and applicants supported appropriately at and between meetings

  • Maintaining and preparing reports in respect of Declaration of Interests, receipt of gifts and hospitality; acting as the first point of contact for members managing calls and correspondence ensuring that the appropriate action is taken and followed through

  • Carrying out office management tasks on a routine basis - this includes routine financial administration, stationery ordering, office supplies and liaising with building managers to ensure smooth arrangements are in place relating to reception, post and meeting room arrangements; updated the website on matters applicable to the role - for example the publishing of notice of meetings, minutes and member biographies and so on.
