My client is currently seeking an Accounts & Administration Assistant to join their growing team. This role will report directly to their Facilities & Finance Director.

The main purpose of this role is to work within your capability to deal with the co-ordination and control of the office services/facilities; the monitoring and administration of company vehicles; credit control, purchasing & suppliers; legal requirements, and any other duties as required. As well as to assist with the continuous development of systems and processes to ensure the high efficiency of the job function and any other duties as required.

Duties & Responsibilities:

  • Under the direction of the Facilities & Finance Director, responsible for the day-to-day co-ordination & control of credit control & debt collection in line with company procedure and with the aim of maintaining the lowest level of outstanding debtors possible. Provide support to the Facilities & Finance Director as may be required from time-to-time in more complex credit control & debt collection matters.

  • The day-to-day co-ordination & control of all office facilities, stationary supplies, signage, consumables etc. and on site/off site equipment, ensuring all aspects are maintained and functional to meet the needs of the business and any statutory requirements.

  • The day-to-day coordination & control of regular purchasing items and of existing suppliers, ensuring the highest level of service is achieved at the most competitive cost and records of purchases are maintained.

  • The day-to-day coordination & control of the fleet of vehicles and any fitted equipment, as well as general maintenance and servicing. Also, to provide support to the Facilities & Finance Director in reporting and dealing with accident claims/actions, parking fines, speeding tickets etc.

  • Provide a high level of customer care and support that positively promotes and reflects the image of the business.

  • Meet and exceed targets/deadlines that may be set by the Facilities & Finance Director.

  • Undertake any key projects and other operational activities as required.

  • Undertake any other duties within your capability as required.

Person Specification:

  • Previous experience working within an office environment is essential.

  • Full UK driving license is essential.

  • Previous experience in credit control/debt collection is preferred but not essential.

  • To have a friendly and confident telephone manner when speaking with clients and suppliers.

  • To be confident working in a busy office environment.

  • Be adaptable, able to work on own initiative, and manage own workload in a varied and demanding job role.
